Enabling and using the WhiteBox HR integration

The WhiteBox HR integration allows users to initiate the required WhiteBox HR online assessments in Lever and receive results on the Lever opportunity. For more information refer to the WhiteBox HR website


Setting up the WhiteBox HR integration

 

You must be a team or organization with admin rights in WhiteBox HR to install this integration.
  • To connect Lever to your WhiteBox HR account, request an authentication link from your WhiteBox account manager.
  • Open the link in your preferred web browser.
  • On the modal, sign-in to Lever using your admin credentials.

  • You will be prompted to authorize the scopes required for WhiteBox HR to retrieve the application statuses of candidates in your Lever pipeline, manage their assessments and communicate results back to Lever. 
  • Review the list of requested permissions and click Accept to authorize the the integration. 

  • You will be redirected to a confirmation page on WhiteBox HR showing the status of your integration.

All done! WhiteBox HR is now authorized to communicate with Lever. 

Configuring the WhiteBox HR integration

Enable the Webhook

Enabling the 'Candidate Stage Change' webhook will allow the integration to receive notifications when your candidate change stages in Lever. 

  • Go to Settings > Integrations and API > Webhooks
  • Toggle the Candidate Stage Change webhook to the on position, if it is not already enabled. 
  • Click Add webhook
  • Add the webhook URL provided by WhiteBox HR.
    • Set the URL to " https://admin.WhiteBoxhr.com/api/company/lever-Opportunities/?company_id=<ID>" . Make sure to replace <ID> with your WhiteBox HR company ID as communicated by your WhiteBox HR account representative.
  • Enable all triggers

Configure Requisitions

The integration currently requires the use of Requisitions in Lever to allow WhiteBox HR to properly qualify job applicants based on the type of job they are applying to. 

  • In Lever, navigate to Settings > Requisitions
    • Toggle the "Enable requisitions" to the on position, if it is not already enabled

  • Scroll down to 'Custom fields'
  • Add a new 'Job Level' field

This completes the configuration of the WhiteBox HR integration.

Configure the Pipeline Stage

In order for the WhiteBox HR integration to correctly signal the status of applicants undergoing psychometric assessments an extra stage should be added to your Lever Pipeline.

This first stage signals that the WhiteBox HR assessments are currently in progress. Once a candidate finishes their assessment, they're automatically transitioned to the preferred next stage in the pipeline.

In order for the integration to function correctly, you will provide the stage IDs for the two stages you create in Lever. Please complete the following steps to retrieve the stage IDs and securely send them via email to your WhiteBox HR account representative.

  • In Lever, navigate to Settings > Pipeline and Archive Reasons.
  • Click Customize Pipeline Stages.

  • Click Add Stage.
  • Fill in the form and add the stage to the desired place in the Pipeline. 

  • Save your Pipeline changes and return to the previous screen.
  • Click Reveal Stage ID button next to the WhiteBox Assessment stage as well as well as the desired stage to be transitioned to post-assessment.
  • Copy these two stage IDs and securely send them to your WhiteBox HR account representative.

Assigning a system user

A Lever user ID with admin role is required by the integration to post back the psychometric assessment results to Lever. The system user will programmatically add comments and file uploads to the Lever platform.

An existing admin user can be used if desired, otherwise you can follow the steps below to add a new user to your Lever account.

  • In Lever, navigate to Settings > Users.
  • Click Add User and follow the wizard to setup the system user. 

  • Select 'Admin' for the access role. 
  • Select the newly added user from the User dashboard and copy its ID from the browser address bar. 

  • Securely send this ID to your WhiteBox HR account representative.

  • If you need to bypass user activation you can de-activate and re-activate the user in Lever.

Using the WhiteBox HR integration

Once enabled, the integration is fully automated.

As candidates are added and progressed through the stages in Lever, they'll be engaged by WhiteBox HR automatically and invited to the relevant assessments.

The results of their assessments will appear on the Lever opportunity as a note with a link to the results. In addition, the results will be uploaded as a pdf file. 

Disabling the WhiteBox HR integration

  1. In Lever, navigate to Settings > Integrations and API > Webhooks.
  2. Locate the Candidate Stage Change webhook section and remove the WhiteBox HR webhook. 
  3. Then, navigate to to the Authorized Apps tab and locate the WhiteBox HR app.
  4. Click Revoke access to disable the integration.
