Enabling and using the Sterling Direct integration

Lever's Sterling Direct integration allows you to initiate Sterling background checks directly from Lever.


Enabling the Sterling Direct integration

 

You must have Super Admin access in Lever in order to complete the following setup steps.

Step 1: Contact Sterling and authorize permissions

To enable the integration, start by reaching out to your Sterling point of contact. They will guide you through the integration enablement process which will result in a request that you grant the following permissions from Sterling to Lever:

  • View all candidates' applications
  • View and manage all candidates' notes
  • View and manage all opportunities
  • View all postings
  • View all requisitions
  • View all candidates' resumes
  • View all stages
  • View all tags
  • View all users
  • Manage all webhooks
  • Allow offline access

Step 2: Enable the stage change webhook in Lever

The Sterling Direct integration utilizes a stage change webhook in Lever. To check that the webhook is active:

  • Navigate to Settings > Integrations and API > Webhooks
  • Scroll to the 'Candidate Stage Change' toggle and ensure that it is in the on position

Step 3: Define the trigger stage

Inform your Sterling point of contact of the stage in your Lever pipeline that you wish to use as a trigger stage for Sterling Direct background checks. When a candidate's opportunity is moved to the trigger stage in your Lever pipeline, a background check will be initiated in Sterling. If you do not have a stage in your pipeline dedicated to background checks, you can add a stage via Settings > Pipeline and archive reasons. Disabling the integration

To disable the Sterling Direct integration:

  • Navigate to Settings > Integrations and API > Authorized Apps
  • Scroll to the Sterling Direct app and click Revoke Access

How the Sterling Direct integration works

When a candidate's opportunity is moved to the trigger stage in your Lever pipeline, a background check will be initiated in Sterling. The Sterling package that is used to run the background check for the candidate will be determined by the tag on the opportunity. The tag must match the name of a corresponding package in your Sterling account and be added to the opportunity before it is moved to the trigger stage. Your Sterling point of contact will provide you with a list of package names associated with your account.

The package with the name "CrimPackage" will run in Sterling when this opportunity is moved to the trigger stage in Lever.

The candidate will receive an email notification regarding the request, in which they will fill in all appropriate information within the Sterling interface. Once the check in completed, a note will be added to their profile in Lever with a link back to the report. You will also see other notes that correspond to the progress of the background check.

Make tag application easier by adding tags to postings. Instead of manually adding background check tags to individual opportunities, consider adding tags to postings. When an opportunity is associated with a posting, any tags on the posting will automatically be added to the opportunity.
