Enabling and using the TeamOhana integration

TeamOhana’s integration with Lever allows the retrieval of recruiting data from Lever, such as jobs, offers and candidate information to centralize all hiring data into one platform. For more information refer to the TeamOhana website.


Setting up the TeamOhana integration

 

You must be a team or organization with admin rights in TeamOhana to install this integration.

There are two ways to authorize the integration, both of which require the authorizing user to be a Lever Super Admin.

Authenticate using OAuth

The first option is to authorize access to your Lever account via TeamOhana using OAuth:

  • Log into TeamOhana as an Admin user
  • Navigate to Settings > Integrations
  • Click Link HRIS or ATS
  • Click Applicant Tracking System
  • Locate and click on the Lever logo. 
  • On the following screen, click I want to authenticate through Lever’s website
  • Click Next
  • On the modal, log in to Lever using your admin credentials
  • On the following screen, review the list of requested permissions and click Accept.

  • Once you confirm, the integration will be authorized.

Authenticate using an API Key

The second option is to initiate the integration is by creating an API key in your Lever account:

  • Log in to Lever and navigate to Settings > Integrations and API > API Credentials 
  • Click Generate New Key.
  • Name the key, then copy it somewhere safe. You will need to access it later.
  • Click Select all read under Permissions
  • Scroll down and click Done 

  • After creating your API key, you will be ready to connect your created credentials within TeamOhana to begin syncing. 
  • Log into TeamOhana as an Admin user
  • Navigate to Settings > Integrations
  • From there, click Link HRIS or ATS
  • Click Applicant Tracking System then locate and click on the Lever logo. 
  • On the screen that appears, click I want to use my API key or access token
  • Click Next
  • Paste your API key into the text box on the next screen
  • Click Submit

  • Once you click Submit, the window will load, ultimately showing you a message that says  'Connected to Lever' with a green check mark.

The integration is now authorized and you are ready to start working with Lever through TeamOhana.

Configuring the TeamOhana integration

Once the integration is enabled, you’ll be able to link jobs from Lever with headcount in TeamOhana to centralize all hiring and offer updates into one platform. 

Link jobs from Lever

When a headcount is approved for recruiting and a job already exists in Lever, users will be able to link the job with the headcount in TeamOhana to centralize all hiring updates.

  • On the headcount in TeamOhana, click on the Hiring Details tab
  • Ensure 'Ready to hire' is enabled
  • Click on the dropdown menu under Job ID and select the job that should be linked to the headcount
  • Going forward all hiring updates for the opening will sync into TeamOhana, providing insight to all stakeholders in the hiring process

Using the TeamOhana integration

Centralize offer details in one platform

When an offer has been extended to a candidate in Lever, as long as the job associated with the offer is linked to a headcount in TeamOhana, all offer details will populate in TeamOhana.

  • As soon as the offer is extended in Lever, the Recruiting Lead and the Recruiter assigned to the headcount in TeamOhana will receive a notification letting them know that an offer is detected for one of their headcount
  • The Recruiter or Recruiting Lead will click the +Link offer button from the Recruiting Workboard in TeamOhana and select the offer
  • The hiring status of the headcount in TeamOhana will update from 'In progress' to 'Offer Sent'
  • Navigate to the Hiring Details tab of the headcount to view more information about the offer. The integration syncs offer details such as candidate name, start date, location, and salary. 

When the candidate accepts the offer, the headcount will automatically be marked as 'Hired.'

Disabling the TeamOhana integration

Reach out to your TeamOhana account manager, who will ensure that the integration is disabled and all data is deleted. 

In Lever

  1. In Lever navigate to Settings > Integrations and API
  2. Under the Authorized Apps tab, locate the TeamOhana app
  3. Click Revoke access to disable the integration
