Lever's Diversity Surveys allow you to create customizable surveys and track candidate responses, providing the data you need in order to understand your team's progress on diversity and inclusion initiatives. You can find a complete visual breakdown of the responses to your Diversity Surveys in the Diversity dashboard in Visual Insights. Our help article on the Diversity dashboard explains how to use this tool to understand the complete picture of your candidate demographics.
How Diversity Surveys work
If a Diversity Survey is active in your Lever environment, candidates will receive the survey when they apply on your Lever-hosted job site. You can also configure Diversity Surveys to be sent to applicants who do not apply via the job site (sourced candidates, referrals, agency submissions) when their opportunity reaches a threshold stage in your pipeline. Diversity Surveys support multiple choice and checkbox question types. Survey questions are completely customizable, so you can gather precise information relevant to your company's diversity efforts. You can have multiple Diversity Surveys active at the same time, meaning you can choose which is survey based on the location of the posting to which the candidate is applying.
Configuring Diversity Surveys
Users with roles provisioned with the 'Manage candidate surveys' permission can enable and configure Diversity Surveys for their Lever environment. To locate the survey editor:
- Navigate to Settings > Company > Surveys
- Click Configure survey (to edit an existing survey) or the Add Diversity Survey button (to create a new survey) next to the 'Diversity' header
The survey editor is divided into three sections, each allowing you to configure a different aspect of the survey. Select from the tabs at the top of the editor to navigate between the different sections.
Questions
First, decide on a title and provide candidates with instructions. The instructions should contain everything that candidates need to know before filling out the survey, including why you are asking them for this information.
If you are setting up a Diversity Survey for the first time, you will find questions preconfigured in the editor. These default questions ask candidates to select their age range, ethnicity, and gender identity. It is highly recommended that you edit the survey so that the information gathered will be relevant to your company's diversity efforts.
Click into a question block to edit the question stem or add/modify a question description. To add a new question, scroll to the bottom of the editor and click the Add Another Question button. Diversity Surveys support two question types:
- Multiple choice questions - ask candidates to select one response from a list of options
- Check box questions - ask candidates to check one or multiple responses from a list of options
Use the up and down arrow keys on the question block to reorder questions on the survey. Click the ellipses button in the upper-right corner of a question block to reveal options to duplicate or delete a question. You can delete response options by hovering over the option and clicking the trash can icon that appears. You can add clarifying instructions by clicking Add description under the question title.
Locations
In this section you will need to configure to which location type you would like to use: Candidate self-select locations or posting locations.
Only one location type can be selected for each survey and no location can have more than one Diversity Survey associated. If you attempt to configure a Diversity Survey to appear based on a location that is associated with another Diversity Survey, that location option will not be selectable, and a message will inform you that the location is already in use by another survey.
Candidate self-select locations
Configure the survey to appear based on the location self-selected by the applicant. Assign a survey to a location by choosing from the drop-down list of locations (these are identical to those shown in the Locations settings page). You can include a survey for all locations by selecting 'All locations' or on a per-location basis by selecting 'Choose locations.'
Posting locations
Configure the survey to appear based on the location of the posting to which the candidate is applying. You can include a survey on all postings by selecting 'All locations' or on a per-location basis by selecting 'Choose locations.' The survey will appear on all Lever-hosted application pages where the posting is based in one of the selected locations. This includes the external and internal job sites.
Multi-location postings
For multi-location job postings, Diversity Surveys will be presented to applicants based on either the preferred location for the candidate or the primary location of the job posting. For multi-location postings, applicants can specify a location from the preferred location question on the application page. If a Diversity Survey is configured for the preferred location, the survey will be dynamically rendered at the end of the application for the applicant to complete.
If the applicant does not select a location, a Diversity Survey will appear if it is configured for the job posting's primary location. View full details on primary and secondary locations in our help article on creating and managing multi-location postings.
Delivery for non-applicants
In the third section of the survey editor, you can configure the survey to be sent to candidates that did not apply via the job site (e.g. sourced candidates, referrals, agency submissions, etc). Click the Modify Settings button and select the checkbox next to 'Send survey via email to non-applicants' to enable this setting.
|
Any changes made to delivery settings will be applied across all Diversity Surveys because the candidate's location will not be known until after the candidate receives the email and navigates to the link to self-select their location. |
If you enable this setting, you will need to specify a threshold stage in your pipeline. The Diversity Survey will be sent to candidates if they are associated with an opportunity that was not created via the job site and that opportunity advanced to, or beyond, the threshold stage. The Diversity Survey will also be sent if a non-job site opportunity is added to the candidate's profile while they are in, or beyond, the threshold stage. The 'New Lead' and 'New Applicant' stages cannot be used as trigger stages. This is to prevent sourced and referred candidates from unintentionally receiving the survey when they are added to your pipeline.
Finally, you can customize the email containing the survey link that gets sent to candidates in the email fields at the bottom of the editor. Text in both the subject line and email body fields can be edited, including the inserting of auto-text tokens to pull in the candidate's name and/or the title of the posting for which they were being considered. Note that the {{Survey link}} token must appear in the body of the email or it will be automatically appended to the end of the email. Click Show preview beneath the email editor to see what your email will look like.
When a candidate's opportunity reaches the threshold stage, Lever will send a customizable email to the candidate's primary email address and CC their secondary email addresses. The email can only be triggered once per posting, but a candidate may receive multiple email surveys if they have applied to multiple postings. Once submitted, survey responses are not editable. If you manually add a job posting to a candidate's profile, the survey will send 15 minutes after the posting is added. This built-in delay helps to prevent accidental surveys from being sent. An entry will be added to the candidate's story when the survey is sent.
Click the Save Changes button at the top of the editor to save your configuration. To activate the survey in your Lever environment, flip the toggle on the Diversity Survey block in your Company Settings to the 'on' position.
