Enabling and using the Xobin Inc. integration

The Xobin integration with Lever helps teams effortlessly add Xobin assessments at specific stages within Lever. Send assessments to candidates directly and view results within the Lever opportunity profile. For more information refer to the Xobin Inc. website. 


Setting up the Xobin Inc. integration

 

You must be a team or organization with Admin rights in Xobin Inc. to install this integration.
  • Log in to your Xobin account.
  • Go to Settings > Integrations and locate the Lever integration.
  • Toggle the 'Lever integration' option to enable it.
  • Click the Generate API Key button to set up the authentication link between Xobin and Lever.

  • On the modal, log into Lever using your Admin account.
  • On the next prompt, review the list of requested permissions and click Accept to authorize the connection.
    • After acceptance, the API key generated in Xobin will be linked to your Lever account, establishing a secure connection between the two platforms.

 

Configuring the Xobin Inc. integration

Configure Trigger Stage

  • In Xobin, click Configure Lever Stage Tags to open a configuration modal where you can set up the assessments to be triggered for candidates as they move through specific stages in Lever.

  • Select the designated Lever stage to trigger when you’d like the assessment to be sent.
  • Choose the assessment(s) you want to associate with each stage. A unique tag will be generated for each assessment you select.
  • Copy the tag to apply to job postings in Lever. 

  • In Lever, add the copied tags to the desired jobs. When a candidate moves to a designated stage in Lever, Lever's stage change webhook will trigger, which will allow the integration to send the assessment based on the tag and the assessment associated with that tag.   • Click Save Changes to finalize the setup. You can return to this configuration at any time to make adjustments.

Activating the Webhooks

  • Before starting your hiring process, in Lever, navigate to Settings > Integrations and API > Webhooks.
  • Ensure that the 'Candidate Stage Change' webhook is enabled in Lever. You’ll notice that the Xobin webhook has already been added to Lever by the integration.

With these steps completed, Xobin’s assessments will now be integrated seamlessly within your Lever workflow, enabling you to send, track, and review candidate assessments all in one place.

Using the Xobin Inc. integration

Assessment updates in Lever

When you move a candidate to a designated assessment trigger stage in Lever, the integration will automatically send an invitation to the candidate, notifying them of the upcoming assessment.

After the invitation is sent, an invite tag and note will be added to the candidate’s profile. This note will include the name of the assessment to provide clear context for tracking.

Once the candidate completes the assessment, the integration will add a results note, a completion tag and a results tag to the Lever opportunity. 

The follow-up note will include the candidate's score, their qualification status, and a link to the detailed assessment report. This ensures that all relevant information is readily accessible in the candidate’s profile for easy reference.

Please find below additional guidance on the integration tags. 

  1. XOBA Completed – This tag indicates that the candidate has completed the assessment.
  2. XOBA Score {level} – A tag representing the candidate's level based on their score, categorized as follows:
    • Below 40%: "Below Average"
    • 41% to 70%: "Average"
    • Above 71%: "Above Average"

These levels are customizable to suit specific assessment criteria.

Click on the Xobin Report URL to view the candidate’s detailed performance report in Xobin. 

Missing Email

When the Opportunity does not have an email during the Stage change webhook trigger, the integration will add a 'XOBA candidate email missing' tag and a note mentioning the same. 

Troubleshooting

If issues arise, try setting up a different assessment and add that tag to the job posting in Lever.

Disabling the Xobin Inc. integration

In Xobin

  1. In Xobin, navigate to Settings > Integrations
  2. Click on the Lever integration
  3. Under the Lever’s Integration section, click Revoke to disable the Integration

In Lever

  1. In Lever navigate to Settings > Integrations and API
  2. Under the Authorized Apps tab, locate the Xobin Inc. app
  3. Click Revoke access to disable the integration

Once the integration is disabled in both Lever and Xobin, all associated functionality will be deactivated. If you wish to re-enable the integration in the future, simply follow the integration setup process again. Please ensure that all necessary data is backed up before disabling the integration to prevent any data loss.
