Enabling and using the Ducknowl integration

The Ducknowl Integration allows recruiters to set up, send, and receive one-way interviews and assessments directly from Lever. Test your candidates hard and soft skills easily while saving recruiters valuable screening time. Streamline your recruiting process and easily rate and review candidates. For more information refer to the Ducknowl website


Setting up the Ducknowl integration

 

You must be a team or organization with admin rights in Ducknowl to install this integration.
  • You will receive a Ducknowl login from your Ducknowl Account Executive.
  • Login to Ducknowl and click on the person icon in the upper right hand corner.
  • From the dropdown menu, click Edit Profile.
  • Click Integrations.

  • You should see a button labeled 'Login with Lever.' Click this to connect your Lever account with Ducknowl. 
  • On the modal, sign in to Lever using your Lever Admin account. 

  • On the following screen, review the list of requested permissions and click Accept

  • You will be redirected to Ducknowl. A success message will appear in Ducknowl confirming that the integration authorization is successful. 

 

Configuring the Ducknowl integration

Enable the Webhook

Once Ducknowl has been authorized, the integration will automatically create the required webhook in Lever.

  • To enable the webhook in Lever, navigate to Settings > Integrations and API > Webhooks.
  • Toggle 'Candidate stage change' webhook to on position if it is not already enabled. 

Add the Ducknowl Assessment stage to Lever

  • In Lever, navigate to Settings > Pipeline and archive reasons.
  • Click Customize Pipeline Stages.

  • Click Add Stage.

  • Type in 'Ducknowl Assessment' in the 'Name' field.
  • Toggle the 'Stage used for interviews' toggle to the 'On' position to enable.
  • Click Add Stage.

  • The 'Ducknowl Assessment' will appear among the other stages in your pipeline.
  • Move the assessment to the desired position in your pipeline (if applicable).
  • Click Next.

  • Click Next.
  • Review your changes and then click Save.
  • You will be redirected back to the Pipeline and archive reasons settings page in Lever.

Create and Setup your Job in Ducknowl

Now that the webhook and trigger stage have been configured in Lever, you will create the job record in Ducknowl. 

  • Log into Ducknowl and click New Job. 

  • On the Job Details screen, create the job position in Ducknowl. 

 

You are not required to copy-paste the job description or location into Ducknowl as your job will live mainly in Lever, however, if it helps your team differentiate between positions, it may be helpful to add additional job description details.

  • Click Next.

  • Ducknowl will prompt you to input pre-screening questions. Click Skip

 

Pre-screening questions are not required when using the Ducknowl integration with Lever. 

  • Click Skip again. 

  • Next, you will be prompted to add some keyword parameters, click Skip.

 

As a Lever integration user, you will not need to manually configure keyword parameters.

  • In the final screen of the create job stage, click Create Job.
    • Resumes will auto-populate into Ducknowl from your Lever account. 

 

All required Application form settings have already been enabled by the integration. 

  • Your job will be listed under the Drafts stage.
  • Click Publish to activate the position for assessments. 

Configure the Ducknowl Assessment 

  • Once you have published the job in Ducknowl, click on the Active tab of your Ducknowl Job Dashboard. 
  • Open the new position to set up your assessments. 
  • Click on + Screening. 

  • On the Screening dropdown, you can select 'one way interview' or 'assessment'. No matter the order you configure them in, you are able to send both screenings to candidates with one-click.

Let’s begin by setting up a one-way interview:

  • Click on + One way interview to begin designing your one-way interview.
  • Click + Add question.

  • Enter the question, and configure how long you would like to give candidates to answer, as well as whether or not you would like to offer retakes.
    • If you have a question which can be googled, you can choose 'think time' to blur the question until candidates initiate, giving them a set amount of time to write notes before the recording starts automatically.
    • You may configure your one-way interview for up to 60 minutes long or as short as you wish, and add as many or as few questions as you like within this time frame. 
  • Once you are satisfied with your one-way interview, click Save.

  • If you only want to set up a one-way interview, no additional configuration is required on Ducknowl. However, if you wish to add an assessment, you can click on + Screening again.
  • You will see that the green checkbox is listed next to the "One way Interview" option, letting you know that it's already been set up.
  • Click + Assessment.

  • Once you click on + Assessment a pop-up will appear with a drop-down allowing you to configure the category and difficulty of your assessment. 

  • Choose an assessment that corresponds to the skills you’d like to hire for.
  • Click Next

  • On the next screen, configure how long candidates will have to take their assessment before it expires.
  • Click Confirm

  • Now it is time to link this job with your Lever job and really get to work!
  • With your assessment(s) saved, click on the clipboard in the upper right corner of your job. 

  • On the dropdown listing all of your available jobs in Lever, select the Lever job position that corresponds to the job you just set up on Ducknowl. 

  • Click Add.

How to Invite Candidates to take the Ducknowl assessment

To send a Ducknowl assessment to a candidate listed in Lever, move the candidate opportunity to the 'Ducknowl Assessment' stage to automatically send the candidate the Ducknowl assessment invitation. 

How to review progress and results in Lever

Candidates will automatically populate into Ducknowl, and automatically receive their assessment and one-way interview requests.

In Lever, you can keep track of their progress using the opportunity tags, which will update once your candidate completes an assessment or interview. 

When candidates complete their tests, you will see their results in Lever as well.

  • Simply navigate to the Notes tab on the candidate opportunity in Lever to review your candidate’s submission. 
  • Click on the link to review your Ducknowl results.

Disabling the Ducknowl integration

  1. In Lever navigate to Settings > Integrations and API.
  2. Under the Authorized Apps tab, locate the Ducknowl app.
  3. Click Revoke access to disable the integration.
