Enabling and using the Universal Background Screening integration

The Universal Background Screening integration allows talent acquisition teams to seamlessly order background checks. Once the background check has completed, a detailed report link will be generated and updated on the Lever opportunity. Universal Background Screening is a leading provider of comprehensive employment background checks including county, state and federal criminal record checks, verifications of past employment, education, professional licenses and certification, searches of government and industry-specific sanction lists for candidates. Setting up the Universal Background Screening integration

 

You must be a team or organization with admin rights in Universal Background Screening to install this integration.

Prior to configuring the Lever integration, please reach out to your Universal Account Executive as the Universal team will need to ensure that the integration has been enabled.  

 

If there is no integration activity for a period of 90 days, Universal will send an email to refresh the Access Token.  

  • On the modal, log in to Lever using your Admin credentials
  • Review the list of request permissions and click Accept

 

Configuring the Universal Background Screening integration

Enabling the webhook 

  • In Lever, go to Settings > Integrations and API > Webhooks
  • Scroll down to the 'Candidate Stage Change' webhook section
  • You'll notice that the Universal integration has automatically created the Candidate Stage Change webhook

  • If the Stage Change is not enabled, toggle to the (blue) on position

Using the Universal Background Screening integration

Redirect Workflow: Order a Background Check from the Universal portal (Option 1)

The following steps walk through the Universal’s ‘Redirect workflow’ where you will be redirected to the Universal Portal to select the background check package or drug tests required for the candidate invite. These steps should be followed if the Universal account is set up with drug testing or Billing IDs.  

  • In Lever, navigate to the Candidates dashboard and locate the candidate you want to run the Background Check for.
  • Click on the candidate name to open the candidate opportunity record

  • Change the candidate stage to ‘Background Check’ 

  • A link to the Universal Portal will appear under the Links section
  • Click on this hyperlink to be redirected to Universal Portal

  • Once logged into the Universal Portal, choose the background package or drug test (if applicable) prior to sending the invitation to the candidate.
  • Complete the form

  • The candidate will receive an email invitation from Universal Background Screening
  • The candidate will provide any missing information that was not received from Lever (ie, any verification information or driver’s license details). They will also sign and complete agreements and/or disclosure forms. 
  • Once the candidate has completed the authorization forms, the background check order will be generated at Universal Background Screening for processing. 
  • In Lever, the integration will update the Lever candidate opportunity with a progress tag noting the latest Universal Background process stage. 
  • Once the background check is complete and ready for review, click the Universal link under the Links section to view the background check report within the Universal Portal.

Direct Workflow: Order a Background Check from within Lever (Option 2)

The below steps follow Universal’s ‘Direct workflow’ where the candidate will receive an invitation from Universal directly from the Lever integration. The following steps can be followed if the Universal account does not have drug testing or Billing IDs.  

  • In Lever, navigate to the Candidates dashboard and locate the candidate you want to run the Background Check for.
  • Click on the candidate name to open the candidate opportunity record

  • For this workflow, ensure that the applicant’s email address is provided within Lever. 

  • Select the 3 dots at the top right
  • Click Add Form 

  • Click Package Selection

  • Select the package desired for the candidate

  • Change the candidate stage to ‘Background Check’

  • The candidate will automatically receive an email invitation from Universal Background Screening
  • The candidate will provide any missing information that was not received from Lever (ie, any verification information or driver’s license details). They will also sign and complete agreements and/or disclosure forms. 
  • Once the candidate has completed the authorization forms, the background check order will be generated at Universal Background Screening for processing. 
  • The integration will automatically update the Lever candidate opportunity with a progress tag noting the latest Universal Background process stage. 
  • Click the Universal link under the Links section to view the background check report within the Universal Portal.

Disabling the Universal Background Screening integration

  1. In Lever navigate to Settings > Integrations and API
  2. Under the Authorized Apps tab, locate the Universal Background Screening app
  3. Click Revoke access to disable the integration
