The Requisitions dashboard provides visibility into your progress toward achieving your headcount goals. The Requisitions dashboard is useful for gauging requisition volume and measuring time to fill open headcounts. As you are reading, refer to the LeverTRM Glossary for definitions of the key terms and concepts used in this article.


Accessing the Requisitions dashboard

To access the Requisitions dashboard:

  • Navigate to Visual Insights via the platform header

  • Click the chevron (>) on the left side of the page to expand the dashboard list
  • Select Requisitions from the dashboard list

The Requisitions dashboard is segmented into pages, each containing charts that will give you insight into a different dimension of your requisitions data. Move through the pages by selecting the tabs running along the top of the dashboard.

The Advanced Analytics add-on is required in order to access the Advanced page.

Metrics on the Requisitions dashboard

Metrics on the Requisitions dashboard are visualized in different types of charts. Below, you will find a description of each chart and how its metrics are calculated. Note that each metric listed is sensitive to the values in the filters above the dashboard. Also keep in mind that data associated with confidential job postings is excluded from the charts. You can export the data from any chart by hovering over the top-right corner, clicking the ⠇ icon, and selecting Download data.

Filters can be be mixed and matched to hone in on specific data sets on any given dashboard. Once you have selected or input values to the filters, you must click the ⟳ button to apply the filters to the data on the dashboard. It may take a few seconds for the dashboard to refresh with your applied filters. The Requisitions dashboard requires that you have an input in the Headcount grouped by filter at all times. This filter only affects the Unfilled headcount summary chart on this dashboard.

 

The colors used on all Visual Insights charts are ADA compliant for red, green, and blue color blindness as well as monochromacy.

Requisitions

The Requisitions page contains charts that provide you with insight into your organization's progress toward filling open headcount and closing requisitions.

KPI tiles

These metrics can be found in the tiles arranged at the top of the Requisitions page.

Open requisitions The count of open requisitions as of the end of the date range.
Open headcount

The count of open headcount across all open requisitions, calculated as:

  [Total headcount across open requisitions as of the end of the date range] minus [Total # of opportunities archived as 'Hired' against open requisitions as of the end of the date range]  

 

Requisitions with infinite headcount are excluded from this calculation.

Closed requisitions The count of requisitions manually closed and/or filled within the date range. Requisitions are counted more than once if closed and/or filled multiple times within the date range.
Avg. time to fill

The calculation used to generate this metric is controlled by the 'Time to Fill' wizard in your Visual Insights Settings. To learn more, refer to our help article on configuring the time to fill calculation.

By default, the average number of days it takes to close/fill a requisition, calculated as:

  [Sum of time to fill for all requisitions closed within the date range]  
  [Total # of requisitions closed within the date range]  

 

Time to fill is determined by the start and end points configured in the Time to Fill Wizard in your Visual Insights Settings. By default, time to fill is measured using the date a requisition was created as the start point and the latest date that requisition was closed as the end point. To learn about different ways to configure the time to fill calculation, refer to our help article on the Time to Fill Wizard

Note that requisitions created before the date range are included in the calculation, and the time measured from the point of requisition creation includes any time the requisition spent pending approval.

Avg. time to first hire

The average number of days to make a first hire against a requisition, calculated as:

  [Sum of days between requisition creation and first hire within the date range]  
  [Total # of requisitions created and first hires within the date range]  

 

The operator 'and' is used inclusively in this calculation, meaning requisition creation and first hire both must have occurred within the date range. Note that the time measured from the point of requisition creation includes any time the requisition spent pending approval.

Requisitions by status

This chart provides you a breakdown of requisitions based on their status so you can monitor for an even balance of open, paused, and fulfilled headcount.

Requisitions by age

This chart is allows you to monitor for stale unfulfilled headcount by showing you how long requisitions have been open.

Average time to fill over time

This chart shows how the average number of days it takes for your team to fill the headcount for a requisition has changed over time, overlaid on the number of requisitions filled in the corresponding timeframe. Note that this chart is affected by how the time to fill calculation has been configured for your Lever environment. To learn more, refer to our help article on configuring time to fill.

Requisition events over time

This chart is allows you to assess the volume and status of requisitions over time.

Each change in status is counted as a unique requisition event. Requisitions will be counted once for every time they change status within the date range.
Primary grouping Status (Draft, Pending, On Hold, Rejected, Open, or Closed)

Unfilled headcount status summary

This chart is shows the distribution of unfilled headcount based on requisition status across different groupings such as owner, team, or posting.

Primary grouping Parameter in Headcount grouped by filter (to a maximum of 25 groupings)
Top 25 primary groupings based on requisition volume. Primary groupings outside of the top 25 can be revealed by applying additional filters.
Secondary grouping Status as of end of date range
Headcount status shown is the status as of the end of the date range. Requisitions closed manually after the start of the filtered date range are included. Requisitions closed automatically due to being filled prior to the end of the date range are excluded.

Although the visualization will only reflect requisitions with unfilled headcount, drill down tables of this chart will also include closed requisitions for which headcount has been filled.

A table containing details on all requisitions can also be found at the bottom of the Requisitions page, showing details of all requisitions open as of the the start of the date range, consisting of:

  • Requisition
  • Current status
  • Department
  • Team
  • Location
  • Requisition hiring manger
  • Creation date
  • Headcount total
  • Active offer count
  • Currently hired
  • Backfill (Yes/No)
  • Headcount infinite (Yes/No)
  • Linked postings
  • Opportunity count

Advanced

 

The Advanced Analytics add-on is required in order to access the Advanced page.

The Advanced page contains charts that show periodic comparisons of your hiring performance, as well as additional insights into pipeline volume, pipeline velocity, time to fill, and requisition approval speed.

KPI tiles

These metrics can be found in the tiles arranged at the top of the Advanced page. Note that since these tiles contain metrics related to a fixed period over period analysis (the most recently completed period compared to the prior period), they are unaffected by the date range filter.

Hired this completed month

The count of hires for the most recently completed month compared to the previous month.

Example
If you were view this chart on July 15, it would show the count of hires made in June (the most recently completed month) and the count of hires made in May (the previous month).

MoM percentage change

The percentage change of hires for the most recently completed month compared to the previous month.

Example
If you were view this chart on July 15, it would show the percentage difference in the number of hires, comparing June (the most recently completed month) to May (the previous month).

Hired this completed quarter

The count of hires for the most recently completed calendar quarter compared to the previous calendar quarter.

Example
If you were view this chart on July 15, it would show the count of hires made between April 1 and June 30 (the most recently completed calendar quarter) and the count of hires made between January 1 and March 30 (the previous quarter).

QoQ percentage change

The percentage change of hires for the most recently completed calendar quarter compared to the previous calendar quarter.

Example
If you were view this chart on July 15, it would show the percentage difference in the number of hires made between April 1 and June 30 (the most recently completed calendar quarter) compared against the the number of hires made between January 1 and March 30 (the previous quarter).

Opportunities in pipeline

This chart shows the number of opportunities in pipeline by group. Use this chart to gauge the volume of candidates in your pipeline based on the requisitions with which their postings are associated.

Average time in pipeline of opportunities

This chart shows the average time in pipeline by group. Use this chart to asses the velocity of candidates in your pipeline based on the requisitions with which their postings are associated.

Time to fill dynamic chart

This chart shows the average number of days it takes to fill a requisition, pivoted by a specified parameter (such as requisition or department), excluding requisitions with infinite headcount. Note that this chart is affected by how the time to fill calculation has been configured for your Lever environment. To learn more, refer to our help article on configuring the time to fill calculation.

Calculation The sum of the average time to fill for each requisition in the group divided by the total number of closed requisitions in the group over time. The starting date is the creation date of the requisition and the ending date is the latest date the requisition was closed, unless start and end dates have been otherwise configured in your Lever environment's time to fill wizard.

Percentage of open requisitions not linked to a posting

This tile shows the percentage of open requisitions that are currently not linked to a posting. Drill into this tile to reveal the list of unlinked requisitions. From the drill down table, you can open each unlinked requisitions in a new tab and link it to a posting. Note, the values shown on this tile are always based on the current state of all open requisitions at that moment, and are unaffected by any filters applied to the dashboard.

Approved requisitions

This table shows the count of requisitions created and approved, organized by group. Use this chart to measure the volume of requisitions being generated by your team, broken down by parameters such as department and location. Requisitions are counted if created within the date range and approved within or after the date range.

Average time for first and last approval

This chart shows the average number of hours from when a requisition is created to when it is approved. Use this chart to evaluate the speed at which requisitions are being approved in order to optimize your requisition approval workflows.

Requisition days open

This table shows all the active requisitions. It includes the number of days since the last status update. A requisition is counted as active if it is currently open. Requisitions where you are listed as the Hiring Manager are included. A maximum of 25 postings can be shown at once. Date range filter does not affect this metric. Shows the difference in days between the last published date and the current date.

Click the colored dots along the bottom of multi-value charts to add or remove individual groups from the visualization. Hold the Alt key (or the Option key on a Mac) when clicking a dot to filter for that group only.
