Tags are pieces of metadata that can be attached to postings and opportunities. Tags are used to define characteristics about the posting and/or candidate to which they are attached, that can then be used as search parameters to locate individual or subsets of opportunities. Tags are essential to zeroing on the candidates in your pipeline and archive, as well as targeted KPIs in your in-app reports.

Types of tags

There are three types of tags in Lever:

Posting tags

These tags are automatically added to a candidate's opportunity profile based on the posting associated with the opportunity. Tags can be manually added to a posting by clicking Add tag in the right-side column of the posting editor. Tags added this way are automatically attached to an opportunity profile when the opportunity is linked to the corresponding posting. For example, in the image below, the tags 'Javascript' and 'Data Science' have been added to the posting for an Analytics Consultant role. Any opportunities associated with the Analytics Consultant posting will have these tags automatically added to them.

The following posting fields are also added to as tags to associated opportunities:

  • Posting title
  • Location
  • Department/team
  • Work type

Note that the tags associated with the posting fields listed above do not appear in the tag section on an opportunity (described below) when the opportunity is in the active part of the pipeline. Once the opportunity is archived, the information in these fields will be added as tags to the opportunity. For example, in the image below, the posting title, location, department/team, and work type for the Analytics Consultant posting have been added to the tags section of an associated opportunity that has been archived.

Opportunity tags

These tags appear in the tags section of an opportunity. Opportunity tags can be manually added to an opportunity by any user that has edit access to that opportunity. Tags carried over to the opportunity from the associated posting will also appear in the tag section on the opportunity.

For example, in the image above the tags 'Javascript' and 'Data Science' have been carried over from the posting associated with this opportunity. An additional tag for '> 5 yrs' has also been manually added to this opportunity to indicate that it is associated with a candidate that has more than five years of experience in this type of role. Opportunity tags also appear to the right of the job posting title when viewing the opportunity list in your pipeline.

Source tags

These tags identify the location(s) or action(s) from which the opportunity was generated (e.g. Added manually, LinkedIn, job fair). Unlike opportunity tags, source tags appear next to the origin on the opportunity profile. An opportunity can have multiple source tags, however note that for reporting purposes the first-ranked source tag in the source tag field is given priority.

Using the 'Referral' source tag

If a 'Referral' source tag is added to an opportunity, a referral form will be attached to the opportunity, which can be filled out by or on behalf of the referrer. Opportunities with the 'Referral' source tag will also have a field added to the profile to indicate by whom the candidate was referred.

The 'Referral' source tag will also appear to the left of the job posting title in the opportunity list view, to make it clear to all users in your Lever environment which opportunities belong to referral candidates.

Source tags for custom job boards

If you published a posting on a custom job board, the secondary source tag for opportunities that are associated with that posting and are generated via application through the job board will match the name given to the job board (i.e. the text that follows "5D=" in the unique job board URL, with spaces represented by "%20").

Add job board modal with arrow pointing job board title, custom job board source tag, and text in custom URL following 5D=.

For example, in the image above, the source tag 'Custom Job Board' will be added to opportunities generated from applications via the custom job board to which the posting was published. To learn more about publishing postings to job boards, refer to our job boards help article.

Analytics related to source data can be found on the Sources dashboard in Visual Insights. To learn more, refer to our Sources dashboard help article.

Adding tags

Users with Super Admin, Admin, Team Member, or Limited Team Member access can manually add tags to opportunities and postings to which they have edit access. To manually add a tag, simply click into the tags field on the opportunity or posting and type the tag that you wish to attach. If the tag already exists in your Lever environment, you can select it from the tag menu.

If the tag does not exist in your Lever environment, you can create the tag, provided one of the following conditions is true:

  • You have Super Admin or Admin level access in your Lever environment
  • Tags have not been locked down in your Lever environment

Users with Super Admin or Admin access have the ability to lock down tags in their Lever environment. If tags are locked down, users with Team Member or Limited Team Member access will only be able to select from existing tags when adding them to opportunities (shown above). Users with Super Admin or Admin access will be prompted with a confirmation step when creating new tags.

If tags are not locked down, users with Team Members or Limited Team Member access can create a new tag by typing the name of the tag in the tag field and selecting Create new tag.

Best practices for tag management and application

Here are some guidelines on how you can get the most out of tags in your LeverTRM environment:

Maintain consistency in how tags are used
Variations in spelling and capitalization can cause unnecessary duplication of tags, which can make it difficult to find and report on opportunities based on specific characteristics. In order to ensure consistency, we recommend locking down tags in your Lever environment once you have a clear idea of the types of tags you and your team use regularly. To lock down tags in your Lever environment, click your avatar in the top-right corner of the platform header, select Settings from the menu, click 'Source and tags' in the left-side navigation, and check the 'Lock down sources and tags' checkbox.

Automated tag application
Automation workflows can be used to automatically apply tags to opportunities based on triggers and conditions that you define, saving you time in characterizing opportunities as they enter and move through your pipeline. To learn more, refer to our help article on automation workflows.

Use tags for targeted reporting
You can filter by opportunity tags in most Visual Insights dashboards, allowing you to zoom in on key metrics related to specific candidate demographics. Take a look at our Visual Insights chart directory to review the different types of dashboards and the metrics they contain.
