Time to hire is a measurement that is sensitive to the recruitment processes, strategies, and objectives of an organization. The Time to Hire Configuration feature allows you to define the start and end points of the time to hire calculation, so the chart values on your Visual Insights dashboards will reflect the way in which your talent acquisition team operates.


How time to hire is calculated

Time to hire is calculated by measuring the length of time between a start point and an end point in a recruitment journey. There are three possible start points and two possible end points that can be used when calculating time to hire.

  • Offer accepted
  • Opportunity archived as Hired

 

The Time to Hire Configuration feature allows you to reconfigure the time to hire calculation by selecting a new start and end point pairing.

Below are definitions for each start and end point:

Opportunity created
Measurement starts when the opportunity was created. This start point includes general opportunities (i.e. opportunities not yet associated with a job posting).
Posting added to an opportunity
Measurement starts when a posting is associated with the opportunity. A general opportunity will only be considered in this start point from the time it is associated with a posting (and thus ceases to be a general opportunity).
Contact created
Measure starts when a candidate's profile is created in Lever. If a contact is associated with multiple opportunities, the measurement will start from the time the first opportunity was created.
Offer accepted
Measurement ends when the offer associated with the opportunity is marked as accepted in Lever either through upload of the signed offer or manually marking the offer as signed. For more information, refer to our help article on offer creation.
Opportunity archived as Hired
Measurement ends when the opportunity is archived as hired in Lever, by selecting 'Hired' from the stage menu on the opportunity profile.

To illustrate the differences between the types of start and end points, consider the following example...

Example
On April 1st, a recruiter adds a candidate to Lever with an opportunity linked to a 'Project Manager' posting. On April 3rd, the recruiter adds a general opportunity to the candidate's profile. On April 5th, the recruiter associates the general opportunity with an 'Associate Project Manager' posting (at which point it ceases to be a general opportunity). The recruiter reaches the conclusion that the candidate does not have enough experience for the 'Project Manager' position and archives the first opportunity. However, the candidate is successful in their interviews for the 'Associate Project Manager' role. On April 12th, the candidate is extended an offer which they accept that same day. On April 14th, the recruiter archives the candidate's second opportunity as Hired.

Here is a recap of the different start and end points for the hired opportunity in the example:

  • Offer accepted: April 12th
  • Opportunity archived as Hired: April 14th

 

Given these start and end points, here is the breakdown of how time to hire would be calculated for each pairing:

Configuring the time to hire calculation

To configure the time to hire calculation:

  • Navigate to Visual Insights via the platform header

  • Click the chevron (>) on the left side of the page
  • Click Settings and Extras
  • Click Use the wizard on the 'Setup Time to Hire calculation' tile

Before changing the time to hire calculation, review the current state of the calculation on the first page in the setup sequence. By default, the time to hire calculation in a Lever environment is configured to the 'Opportunity created' start point and the 'Opportunity archived as Hired' end point. Click Next Step to proceed.

On the metric configuration page, select a start point. Once you have selected a start point, the end point options will be revealed. Select an end point option to pair with your selected start point and click the Finish button.

On the final page, you can navigate back to your Visual Insights dashboards or jump straight to your Pipeline dashboard to review how the changes you made to the time to hire calculation will be reflected.

Best practices for configuring the time to hire calculation

Below are some recommendations on how to the configure the start and end points in your time to hire calculation, based on your organization's objectives:

Opportunity created -> Opportunity archived as Hired
This is the start/end point pairing configured by default in all Lever environments. This configuration yields the most accurate calculation in most cases, as it only requires that recruiters are archiving candidates as 'Hired' in a timely manner when the hiring process is complete.
Opportunity created -> Offer accepted
This start/end point pairing is commonly used to measure time to hire at high growth organizations that are extending a large volume of offers and are looking to reduce their time to hire. The configuration requires that you are managing offers in your Lever environment in order for the calculation to provide an accurate output.
Posting added -> Offer accepted
This start/end point pairing is relevant for organizations that invest heavily in sourcing, both in-house as well as through agencies, as time that candidates spend at the very top of the funnel will not negatively impact overall time to hire. Organizations using this pairing should also be extending large volumes of offers. The configuration requires that you are managing offers in your Lever environment in order for the calculation to provide an accurate output.
Posting added -> Opportunity archived as Hired
This start/end point pairing is commonly used in organizations that have a clear and distinct pipeline for sourcing, interviewing, and closing candidates. Time candidates spend at the very top of the funnel (prior to being associated with a specific posting) does not get factored in, while time spent between offer acceptance and the official hiring of candidates is still included.
