This article references an updated version of the Visual Insights navigation menu. The updated version is included in the Winter 2023 Product Release, scheduled for progressive rollout starting in mid-February 2023. The Recruiter Operations dashboard provides you with insight into the volume and velocity of opportunities in your pipeline. The Recruiter Operations dashboard is useful for identifying bottlenecks attributed to posting performance or overdue candidate outreach. Readers of this article will learn about:

Accessing the Recruiter Operations dashboard

To access the Recruiter Operations dashboard:

  • Navigate to Visual Insights via the platform header

  • Click the chevron (>) on the left side of the page
  • Click Dashboards and select Recruiter Operations from the expanded menu

Navigating the Recruiter Operations dashboard

The Recruiter Operations dashboard is segmented into pages, each containing charts that will give you insight into a different dimension of your operations data. Move through the pages by selecting the tabs running along the top of the dashboard.

The Current Operations - Team View, Interviews, Feedback, Performance, and Performance - Team View pages require LeverTRM packages with the Advanced Analytics add-on.

Metrics on the Recruiter Operations dashboard are visualized in various types of charts which are organized into different pages. Below, you will find a description of each page as well as the charts they contain and how the metrics on each chart are calculated. Note that each metric listed is sensitive to the values in the filters at the top of the dashboard. Keep in mind that data associated with confidential job postings is excluded from the charts. You can export the data from any chart by hovering over the top-right corner, clicking the β ‡icon, and selecting Download data. 

Filters can be be mixed and matched to hone in on specific data sets on any given dashboard. Once you have selected or input values to the filters, you must click the ⟳ button to apply the filters to the data on the dashboard. It may take a few seconds for the dashboard to refresh with your applied filters. For a more detailed description of how filters work in Visual Insights, refer to our help article on dashboard filters.

 

The colors used on all Visual Insights charts are ADA compliant for red, green, and blue color blindness as well as monochromacy.

Current Operations

 

Charts on the Current Operations page only reflect data from opportunities for which the user is the Opportunity Owner.

The Current Operations page contains charts that show the overall activity in your active pipeline, with a focus on optimizing the speed at which your opportunities move through the recruitment funnel.

These metrics can be found in the tiles arranged along the top of the Current Operations page.

New opportunities The count of all opportunities in the 'Lead' and 'Applicant' sections of the pipeline for which you are the Opportunity Owner.
Offers waiting for reply The count of sent offers that have yet to be signed or declined, associated with opportunities for which you are the Opportunity Owner.
Last data sync time The date and time at which data was last synced from the LeverTRM application.

New opportunities

If this number is low...

  • Check to see if you have any candidates in the active part of the pipeline that are associated with closed postings. If you have enabled the Candidate Experience Survey, consider adding a 'Data cleanup' archive reason that is excluded from the survey delivery criteria, to avoid surveying candidates that are archived as part of your cleanup efforts.
  • Cross-reference with the charts on the Pipeline and Postings dashboards to see if this low number aligns with candidate volumes in the wider organization.

If this number is high...

  • Consider setting up an automation workflow to auto-archive candidates that do not meet minimum role requirements.
  • Ensure you are following up in a timely manner with sourced candidates in the 'New Lead' stage, as well as using Fast Resume Review to efficiently screen candidates in the 'New Applicant' stage.

Offers waiting for reply

  • Ensure this number is accurate and that candidates declining verbally have been archived and marked as declined.
  • Review email tracking on sent offers to check which have been opened.
  • Reach out to candidates for which you are awaiting a signature. Alternatively, consider using the 'Send For' functionality to send an email on behalf of the hiring manager letting them know the offer has been sent.

Published posting days open

This table gives you a high-level view of all published postings associated with opportunities for which you are the Opportunity Owner, including the number of days since they were last updated. Active postings are those that have been published externally and/or internally, excluding those that are unlisted or confidential.

Use this table to identify how postings are aging and how you can best allocate your time.

  • Proactively source to fill the top of your funnel where roles are not garnering applicants. 
  • Utilize automation workflows and Fast Resume Review to reduce stale candidates and provide expeditious candidates experiences.
  • Posting that have been more for more than 180 days have likely been suppressed on job boards to which they have been posted. Audit postings to close old and duplicate roles. Check out our help article on evergreen postings for instructions on how to refresh postings that have gone stale while maintaining good data hygiene.

Interviews

 

The Interviews page is only available with LeverTRM packages that include Advanced Analytics.

The table on the Interviews page gives you a comprehensive view of interview activity by providing details on all interviews scheduled within the date range for postings that you follow. In the absence of an end date in the date range filter, the end date will default to 16 days from the current date.

Interviews for my followed postings table

Your role for the interview is listed in the rightmost column of the table. Use the 'Y/N' filters above the table to filter for interviews based on your role.

This table is designed to assist you with interview task management, by allowing you to easily keep track of:

Dates
Easily see interview activity that is scheduled or has elapsed in a given time period alongside your role in the interview.

Posting and opportunity information
See where your opportunities are even if you have not been involved in each step of the recruitment process. Use the hyperlinks in the table to navigate straight to candidate profiles and postings so that you can quickly complete follow-up tasks.

Interviewers
If an interviewer must cancel unexpectedly, you can easily reschedule or find an alternate interviewer from this unified view.

Feedback

 

The Feedback page is only available with LeverTRM packages that include Advanced Analytics.

The table on the Feedback page gives you granular insight into interview feedback by providing details on all interviews completed within the date range for postings that you follow, including the status of required feedback (complete or incomplete) and the average feedback score for each interview.

This table is designed to help you manage tasks related to feedback collection, by allowing you to easily keep track of:

Dates
Easily see when an interview has taken place and whether anyone on the interview panel is late submitting feedback. Organizations that provide feedback to candidates with 24-48 hours of an interview tend to score higher on candidate experience surveys.

Posting and opportunity information
Monitor in realtime if scores are coming in low and it looks like a candidate will not be advancing, so you can proactively revisit the top of your funnel. Alternatively, if scores are coming in high, you may want to consider un-listing your postings until it is time to close the candidate.

Feedback
Easily differentiate between individual scores and panel averages so you can make informed decisions about which tasks to tackle next.

Performance

 

Charts on the Performance page only reflect data from opportunities for which the user is the Opportunity Owner and is only available with LeverTRM packages that include Advanced Analytics.

The Performance page contains charts that allow you to measure your historical efficiency at moving candidates through the pipeline.

Interviews completed The count of interviews performed within the date range, associated with opportunities for which you are the Opportunity Owner. Interviews scheduled to be performed during the date range are included in this chart as a denominator in order to derive the percentage of completed interviews.

This chart allows you to measure the speed at which you complete interview feedback over time.
