How do I enable the Sterling Backcheck integration?

This Partner Integration will be available as part of the Fall 2020 Release. You may not see this functionality in your account until October 8th. We appreciate your patience as we roll out the release.

The Sterling Backcheck-Lever integration is a seamless enhanced integration that allows a recruiter to launch background screening for candidates directly from Lever.

Using the Sterling Backcheck integration

The following list summarizes the steps to set up integration users in Lever:

  1. Configuration of Webhook URL and generating signature token
  2. Creating and configuration of a candidate
  3. Configuration of user, departments & team, locations, work types
  4. Creating of posting and configuration of package
  5. Creating of requisition and configuration of cost center
  6. Configuration of Recruitment Processes.
  7. Initiating a Background Check Case

Configuration of Webhook URL and generating signature token

  • Within your Lever account go to “Integrations and API” section under settings then go to “WEBHOOKS” tab (see example screenshot below). Enable Candidate Stage Change then add Sterling webhook URL, scroll down click “Verify Connection”

  • Once connection is successful, Lever will generate Signature Token (see below screenshot). Please share Signature Token with Sterling team.

Creating and configuration of a candidate

  • Within your Lever account go to “Candidate” tab and click on “ADD CANDIDATE”>>” ADD MANUALLY” as shown below (see example screenshot below).

  • Once new candidate is added, it will open following page where recruiter must fill below details.
      • Candidate Name
      • Organization
      • Email address
      • Location
      • Contact Info

  • Add Candidate’s first name and last name with one blank space between names as shown below. (Please don’t add middle name). Reason – Lever has one field to capture full name while Sterling has separate fields to capture first, middle & last name.

  • Add organization, location, candidate email id details. In contact info select “Home”.

  • Upload candidate resume by clicking on “Add resume”. If uploaded resume has education and employment details, then Sterling will be able to map those details to Sterling Candidate portal.

Configuration of User, Departments & Team, locations, work types

  • Within your Lever account go to “Users” section under settings and click on “ADD NEW USER” to add the User-Recruiter, Hiring Manager (see example screenshot below).

  • Select the appropriate access role for the user

  • Click on add another job posting to link posting to user

  • Within your Lever account go to “Company” section under settings. Add Team by clicking on “Add Team” & click on “ADD DEPARTMENTS” to add department (see example screenshot below).

  • Add multiple locations by clicking on “ADD LOCATION” (see example screenshot below).

  • Add multiple work types (Full Time, Part Time, Internship) by clicking on “ADD WORK TYPE” (see example screenshot below).

  • Within your Lever account go to “Requisitions” section under settings. Enable the Requisition by selecting the checkbox to “Enable requisition” and Uncheck other two (see example screenshot below).

  • Add below custom fields by clicking “ADD NEW FIELD “and make them mandatory by clicking the checkbox beside it (see example screenshot below).
  1. Add “Field Group” field for Cost Center (If Applied)

  • Please follow the naming convention of FIELD NAME and FIELD ID (see example screenshot below).

Creating of posting and configuration of package

  • Within your Lever account go to “Jobs” tab and under POSTINGS tab click on “ADD JOB POSTING” to add new job posting (see example screenshot below).

  • Add package in posting under tags by clicking Add tag and linked the requisition created as shown below.

(Note: One posting should have only one package configured to it).

Creating of requisition and configuration of Cost center

  • Within your Lever account go to “Jobs” tab and under REQUISITIONS tab click “ADD REQUISTION” to add new job requisition (see example screenshot below).

  • Fill all the mandatory fields as shown in below screen shot, also linked the appropriate posting to it.

 Configuration of Recruitment Process

  • After successfully creation of posting and requisition add the posting to the CHOOSE JOB in candidate profile and it will automatically add it into the opportunities of that candidate (see example screenshot below).

Initiating a Background Check

  • When Candidate create the by default it has “NEW LEAD” as its stage (see example screenshot below).

  • To initiate a background check, navigate to the candidate and change the candidate stage to “Reference Check” OR “Background Check” (see example screenshot below).

Viewing the Background Screening Result Reports

Viewing Piecemeal background screening service reports

Sterling Backcheck support the Piece Meal result which means Sterling will post back result of each and every screening services back to Lever as and when it’s get completed.

***To view status, score & report URL within Lever, please go to Candidate tab then Notes tab.

Piece Meal Results will show as following: -

  • Status = In Production (When Screening services are in progress but not fulfilled)
  • Reference number = Sterling Backcheck Background Check OrderNumber
  • ScreeningStatus = Sterling Backcheck screening status of each services
  • ScreeningName = Name of screening service
  • ScrenningStatus = Status of the screening service (Not Started / Complete)
  • ScrenningScore = Screening service score
  • ScreeningCompleteDate = Date of completion of Screening service
  • Results Report = Sterling Backcheck Report URL of individual services
  • When screening services are in progress but not yet completed, Sterling will post back the status as ‘Not Started’ in Lever notes section (see example screenshot below).

  • When any of screening service is completed, Sterling Backcheck will post back the result, Status of that screening service will change from ‘Not Started’ to ‘Complete’ along with its score and date of completion (see example screenshot below).

  • When all screening services are completed, Sterling Backcheck will post back the result. Status of all screening services will change from ‘Not Started’ to ‘Complete’ along with its score and date of completion is also updated. Also the overall Status is updated from ‘In Production’ to ‘Fulfilled’ (see example screenshot below).

Viewing background screening Result

Once the Background Check Orderis complete, Sterling Backcheck posts back the updated status, score and report URL. The status is updated to “Complete” in the Lever. The report URL contains the full results and is hosted by Sterling Backcheck.

  1. Results page will show following
  • Status = Complete
  • Reference number = Sterling Backcheck Background Check OrderNumber
  • Results Score = Case Score
  • Results Report = Sterling Backcheck Report URL
  • Completed Date= Date of the order completion.

Order Result Management

Overview

Sterling posts order status whenever there is a status update. If CMA is enabled, scores is posted after all the services/searches are complete.

Lever maps the background check status labels to Sterling Backcheck status and scores.
