Understanding how Namely fields get mapped in Lever

Streamline the recruiting to HR process by allowing candidate information to flow seamlessly into Namely once a candidate is hired in Lever. The candidate data from Lever will dynamically populate a new Namely Onboarding or HRIS record, minimizing the time spent on manual data entry.

 

This help article will walk you through the process of mapping your Lever data to Namely. For details on how the integration works and how to enable Lever's integration with Namely, please see our help article on enabling and using the Namely integration.

Field Mapping

Lever's native integration with Namely has been enhanced to pass more fields than ever before, including custom Namely profile fields! The following charts represent the fields that are supported with the standard Namely integration.

In order to support all data mapping options, the Namely integration must be set up by an Administrator on the Namely account.

Updates to these data mappings and custom fields are supported, but will require additional configuration. If you are interested in learning more, please reach out to Lever Support for more details via the Lever Support request form.

Default Mapping

Lever Candidate Fields

The following candidate details will be transferred over by default (fields marked in red are required to create a new record in Namely):

- user_status Automatically if set to 'active' if configured for HRIS. Automatically set to 'pending' if configured for Onboarding. 
Email personal_email Will retrieve the first email address on the candidate profile.
URL linkedin_url Will retrieve the first 'linkedin.com' URL on the candidate profile.
Phone home_phone Will return the first phone number with the type 'home' on the candidate profile.
Phone mobile_phone Will return the first phone number with the type 'mobile' on the candidate profile.

Lever Offer Fields

If the following fields exist in the signed offer form when the candidate is hired, they will be included.

Lever Requisition Fields

If the following fields exist on the associated requisition for the signed offer, they will be included.

Lever must be configured with all of the following work types in Settings --> Company Settings --> Work Type (values must be spelled exactly the same):

Configuration

Setting Up the Offer and Requisition Fields

Some of the information on the offer form and requisition are transferred by default, however if you would like to customize additional fields please reach out to Lever Support via the Lever Support request form for assistance with custom mappings. Additionally, you will want to read through the following help articles to learn how to prepare your Offer and Requisition data for custom mapping:

Setting up Profile Form Fields

This optional step needs to be completed by a Lever Admin or Super Admin.

  • Navigate to the form settings page in Lever Hire
  • Add a new form titled “Namely Form”
  • Include all the fields that you would like to send to Namely
  • Add the form to the desired candidate profile and fill out the form

For example, if you want to pass 'first_name', 'last_name' and 'preferred_name' fields you would do so by following the above steps and as shown in the screenshot below:

Mapping Dropdown Values in Namely

In order to successfully create a record in Namely with Job Title, you must assure that the values in Namely exactly match the corresponding Lever dropdown values. These values are mapped as follows:

The following instructions will guide you in assuring that everything is set up correctly. Start by going to Namely and clicking on the Company > Settings > Job Titles (under Organizational Structure) tab.

In Namely, a Job Tier is required before Job Titles can be created.

 

Capitalization and special characters are important when mirroring your dropdown values. For example, if your Job Title is listed in Lever as "Solutions Architect", the Job Title in Namely must be written exactly the same.
