What are Sensitive Information Privileges and how are they granted?

Lever’s Sensitive Information Privileges allows for granular permissioning of your most sensitive hiring data. These new Privileges can be granted to users who are Team Members or Admins, and scoped to candidates associated with jobs within specified departments, team, locations or individual job postings.

What’s included in Sensitive Information Privileges?

Sensitive Information Privileges gives users access to:

  • Secret notes
  • Secret feedback
  • Secret forms
  • Secret emails
  • Secret files
  • Secret job application questions
  • Offers
  • Hired candidates

Who can grant Sensitive Information Privileges to other users?

  • Super Admins can grant Sensitive Information Privileges to Admins and Team Members
  • Admins with Full Sensitive Information Privileges can grant Sensitive Information Privileges to Admins and Team Members

How can I scope Sensitive Information Privileges for individual users?

Super Admins have access to all Sensitive Information within your account.

Admins can be granted access to all Sensitive Information within your account or a specific subset of that Sensitive Information. In contrast, Team Members can only be granted a specific subset of that Sensitive Information. It can be scoped by job posting and/or categories of job postings, such as those associated with a department, team, and/or location.

For example, I can choose to give Sonia, a Team Member, access to Sensitive Information on candidates associated with the…

  • Software Engineering job posting
  • All job postings associated with the Product Engineering team 
  • All job postings associated with the Research & Development department
  • All job postings in the New York location

Limited Team Members and Interviewers cannot be granted Sensitive Information Privileges.

Please note: While Limited Team Members cannot be configured with Sensitive Information Privileges, they CAN be granted access to individual secret objects on a candidate's profile or to hired profiles by specific means. For example, if a Limited Team Member is @-mentioned in a Secret Note, they will have access to view that individual secret object on the candidate's profile. You can also grant specific users one-off access to certain sensitive objects during the process of making it secret. Limited Team Members can also see hired candidate profiles if they are the owner or hiring manager of the posting the candidate was hired for.

Can I give a specific user one-off access to an individual sensitive object, such as a secret note?

Yes, you will be able to give one-off access to all of the following secret objects to users within your account:
  • Secret notes
  • Secret feedback
  • Secret forms
  • Offers (learn more)

Who will have access to view Hired candidates?

  1. Super Admins
  2. Job posting owner of the job posting that the candidate was hired for
  3. Job posting hiring manager of the job posting that the candidate was hired for
  4. Admins and Team Members who have Sensitive Information Privileges for the job posting that the candidate was hired for 

How do Sensitive Information Privileges work with confidential postings?

The confidential posting access list will always supersede Sensitive Information Privileges.  In other words, a user must be on the Access List for a confidential posting AND be granted Sensitive Information Privileges for that posting in order to see any sensitive objects. For example, if a user is tagged in a secret note on an opportunity associated with a Confidential posting, the tagged user will not be aware of that note, nor have access to it unless they are been added to the access list for that posting. 

 

Sensitive Information Privileges make it easy to grant every user of your account access to all of the information that they need, and nothing more.
